Auto Cancellation of Unpaid Orders

Overview

The "Auto Cancellation of Unpaid Orders" feature allows automatic cancellation of unpaid bookings once their refundable period falls below the specified in the settings number of days.

This saves clients from the daily routine of manually filtering unpaid orders with expiring free cancellation periods and canceling them one by one.

Auto cancellation of Unpaid Orders Logic

  • On a daily basis, the system checks the number of days remaining until the end of the free cancellation period for unpaid orders.
  • If the number of days is between 1 and preset value then the booking it is cancelled.
  • The flow only affects bookings made by users with activated the "Auto Cancellation of Unpaid Orders" feature.

Note:

After the daily booking cancellation process completes, each user receives an email with a list of its segments where cancellation attempt failed.

If the system fails to cancel the segment it retry on the next day, as long as the reservation remains refundable.

Configuration

Before configuring the "Auto Cancellation of Unpaid Orders" feature it needs to be enabled in the "Client level" (which can be requested from the support team).
The actual configuration is done in the "Node level" (thus inherited by all child users) or the "User level", and can be achieved by the following steps :

  1. Go to the Manage Company screen and select the node/user for whom you wish to configure "Auto Cancellation of Unpaid Segments".
  2. Under "Unpaid Orders Auto Cancellation Setting," activate the "Enable auto cancellation on unpaid reservations" parameter and determine the number of days before free cancellation end (1 is the minimal value):

Example :

If "Days before free cancellation end" = 3 and current date is 01.09.2025 then unpaid orders with free cancellation period until 02.09.2025, 03.09.2025 or 04.09.2025 will be automatically cancelled today.
